Ultivora Technologies (“Ultivora”) believes that recruitment should be fair, transparent and free of cost for job seekers. This Policy sets out the standards we follow in dealing with candidates, and what candidates can expect from us.

1.Purpose and scope

This Policy applies to everyone at Ultivora who sources, screens, speaks to or places candidates, and to any person acting on our behalf. It applies to every candidate we engage with, whatever the role, level or location.

2.No fees from candidates

Ultivora does not charge candidates any fee, directly or indirectly, at any stage. This covers registration, profile creation, résumé preparation, interviews, assessments, placement and joining. Our fees, if any, are paid by the employer under a written agreement with the employer.

We will not ask a candidate to pay anyone else, or to accept deductions from salary, in connection with securing a job through us.

3.What we will never ask a candidate to do

  • Pay a registration, processing, interview, placement, training, uniform, equipment or security deposit.
  • Hand over original educational or identity documents, certificates or passports as security.
  • Share a bank account PIN, card number, CVV, UPI PIN, one-time password or online banking credentials.
  • Sign a blank document or a document that the candidate has not had a chance to read.
  • Accept a job offer, or give up another opportunity, under undue time pressure.

4.Honest and transparent communication

We will tell candidates, as far as we know it, the role, the employer (when the employer allows us to disclose it), the location, the type of engagement, and the likely compensation range before asking a candidate to invest time in a process. We will not misrepresent a role, an employer or the likelihood of an offer.

We will tell candidates where they stand in a process, and aim to give timely feedback and reasons, including when the answer is no.

6.Confidentiality

A candidate’s job search is confidential. We will not contact a candidate’s current employer without explicit permission, and we will not disclose that a person is exploring opportunities. Personal data is handled in accordance with our Privacy Policy.

7.What we ask of candidates

To keep the process fair for everyone, we ask candidates to provide accurate and complete information about their qualifications, experience, compensation and notice period; to tell us promptly when circumstances change; to inform us if they accept another offer or withdraw; and to treat our team and employers with courtesy. Candidates may withdraw from any process at any time.

8.Lawful engagement and contract staffing

Where a candidate is engaged on a contract or temporary basis, we will ensure, as far as it is within our responsibility, that the terms are put in writing and state the employer, role, work location, duration and wages; that wages and statutory benefits are provided as required by law; and that the engagement complies with the labour laws that apply, including the Code on Wages, 2019, the Code on Social Security, 2020 and the Occupational Safety, Health and Working Conditions Code, 2020, and the rules made under them.

Where the law requires a registration or licence for a particular kind of engagement, we will undertake it only when that requirement is met.

9.Overseas opportunities

Unless we expressly state otherwise in writing, Ultivora does not place candidates in employment outside India. If we ever do, we will do so only in compliance with the Emigration Act, 1983 and any law that replaces it, and we will never charge a candidate anything that the law does not permit. Candidates considering overseas work through any agent should verify that the agent is registered, for example through the Government of India’s eMigrate portal.

10.Raising a concern

If you believe we have not met these standards, or someone has asked you for money in our name, please tell us. Our Grievance Redressal Policy explains how to reach our Grievance Officer, and our Recruitment Fraud Alert explains how to identify and report fraud. We do not tolerate retaliation against anyone who raises a concern in good faith.

11.Review and contact

We review this Policy at least once a year. Questions can be sent to:
